The Priority Responder / Project Manager (PM) is responsible for rapid response, job acquisition, emergency stabilization, customer communication, and full-cycle project management for fire, water, storm, and large-loss restoration projects. This position serves as the first point of contact during emergency events and is responsible for securing work, building customer confidence, coordinating resources, documenting losses, and managing projects from initial response through completion. The Priority Responder / PM must operate with urgency, professionalism, and strong organizational skills while maintaining excellent communication with customers, insurance carriers, internal teams, and subcontractors.
- Respond immediately to emergency losses and priority leads in a professional and timely manner
- Arrive onsite promptly to assess property conditions and determine mitigation needs
- Take immediate action to stabilize losses and prevent further damage
- Establish customer confidence through clear communication and professionalism
- Coordinate emergency services, resources, and initial response efforts
- Secure signed work authorizations and all required documentation
- Clearly explain the restoration process to property owners and decision-makers
- Coordinate with insurance representatives, adjusters, and stakeholders as needed
- Convert emergency response opportunities into secured projects
- Maintain strong customer relationships throughout the project lifecycle
- Manage projects from initial loss through final completion
- Coordinate labor, equipment, subcontractors, and materials effectively
- Monitor project timelines, budgets, and production schedules
- Maintain consistent communication with customers, team members, and stakeholders
- Ensure quality control, compliance, and high levels of customer satisfaction
- Identify and resolve issues proactively to prevent delays
- Develop accurate scopes of work and project documentation
- Perform moisture inspections and complete moisture mapping
- Capture photos, sketches, and detailed job records
- Complete Docusketch scans and generate floor plans
- Enter and maintain accurate job data in company systems
- Provide Rough Order of Magnitude (ROM) pricing when required
- Support estimating and cost projection efforts
- Serve as the Priority Responder for large-loss events
- Conduct initial site assessments, stabilization, and safety evaluations
- Coordinate immediately with the Large Loss Team and leadership
- Secure emergency mitigation and reconstruction opportunities
- Develop preliminary scopes of work and project strategies
- Provide initial ROM pricing as appropriate
- Coordinate with adjusters, consultants, engineers, and ownership groups
- Coordinate labor, equipment, subcontractors, and materials
- Assist in developing project schedules and production plans
- Oversee large-loss projects from initiation through completion
- Monitor progress, budgets, documentation accuracy, and customer expectations
- Maintain communication with leadership and key stakeholders
- Support storm readiness and pre-positioning activities
- Identify target markets, commercial opportunities, and high-risk areas
- Coordinate preparedness plans with operations leadership
- Respond rapidly to inbound storm-related leads
- Canvas affected areas following corporate guidelines and approvals
- Prioritize commercial opportunities while maintaining residential response capabilities
- Secure mitigation and reconstruction projects
- Perform site assessments, moisture mapping, and documentation
- Complete Docusketch scans and develop initial scopes of work
- Enter project data into company systems and assist with estimating
- Coordinate labor, equipment, lodging, and logistics during CAT operations
- Communicate resource needs and support operational scalability
- Respond immediately to priority fire losses and be first onsite whenever possible
- Conduct detailed site walkthroughs and damage assessments
- Establish customer trust and explain the restoration and insurance process
- Secure work authorizations and required documentation
- Coordinate emergency services, including board-up and stabilization
- Complete all required documentation, including photos and Docusketch scans
- Respond promptly to all assigned leads and opportunities
- Conduct professional onsite assessments and build rapport with property owners
- Secure restoration opportunities and transition projects to production teams
- Complete all required documentation, scoping, and system entry
- Coordinate next steps with operations, estimating, and office staff
- Support daily production operations and provide field leadership
- Mentor and guide team members, promoting skill development and accountability
- Assist in training and onboarding of production personnel
- Maintain high standards of professionalism and operational excellence
- Identify inefficiencies and contribute to continuous improvement initiatives
- Communicate challenges and recommend solutions to leadership
- Collaborate across departments to improve workflow and execution
- Promote a positive team environment and strong company culture
- Support company goals related to customer experience, response time, documentation quality, and profitability
