- Schedule & Dispatch: Assign restoration teams and manage incoming leads to ensure the right crews go to the right projects.
- Monitor & Coordinate: Keep job files updated—and active—from lead to invoicing, with oversight of Work-in-Progress boards and documentation audits.
- Document Preparation: Review field documentation, create preliminary estimates, and coordinate final job close-outs.
- Communications Hub: Serve as the central point of contact—handling calls, following up with clients, and keeping Managers, Crews, and Technicians in sync.
- Reporting & Auditing: Audit job files, maintain detailed job file backups, generate reports, and ensure accuracy for invoicing and compliance.
- Office Support: Perform related duties—draft correspondence, file paperwork, and occasionally assist with billing, vendor coordination, or scheduling.
- Minimum 2 years of customer service or office-related experience—bonus if in restoration, insurance, or construction.
- Proficiency in Microsoft Office; experience with Xactimate or similar specialty software is a plus.
- Strong organizational skills, unwavering attention to detail, and the ability to multitask across projects.
- Outstanding oral and written communication, with a calm, professional demeanor—even under pressure.
- Self-motivated, dependable, and able to thrive in fast-paced, team-focused environments.
- High School diploma or GED required; an Associate’s or Bachelor’s degree is preferred.
- Valid driver’s license—depending on your location and the franchise’s needs.
- Full-time, between the hours of 7AM–7PM (Mon–Fri), minimum 40hrs/week.
- Primarily an office-based, seated role, but occasional light physical tasks—filing, opening cabinets, or accessing elevated storage—may be needed.
