Summary:
The Director of Estimating is responsible for developing and managing the estimating department, which handles water and fire mitigation and construction work. This role involves leading a team of 15-20 employees to produce high-quality estimates and documentation, fostering strong communication between estimating and operations, and ensuring thorough job file documentation. Key expectations include increasing revenue and profitability, mentoring staff, and instilling accountability. Success in this role requires strong communication, leadership, industry knowledge, financial acumen, and familiarity with SERVPRO Team Wall’s procedures and technology.

Major Duties and Responsibilities:
  • High-Quality Estimates: Lead the production of comprehensive estimates and train field employees to improve documentation and protocol.
  • Increase Revenue/Profitability: Enhance revenue and profitability by ensuring complete job scoping and timely estimate delivery.
  •  Dashboard Utilization: Regularly monitor job status using custom dashboards to manage estimating tasks and resolve file issues.
  • Conversion to Reconstruction: Develop processes to convert mitigation jobs into reconstruction opportunities in collaboration with other teams.
  • Work In Process Meetings & Construction Progress Meetings: Attend mitigation and construction meetings to address estimating-related issues and ensure timely documentation.
  • Estimate Review Audit Checks: Conduct spot checks of estimators' work to maintain high-quality estimates and provide educational support.
  • Third-Party Administrator Documentation: Ensure administrative teams are proficient in handling TPA job files and meet documentation standards. Review all Scorecards related to the estimating team's performance to identify trends, find training opportunities, monitor key performance metrics (KPMs), ensure adherence to standard operating procedures (SOPs), and use the insights to make informed business decisions.
  • Compliance: Ensure adherence to process controls to prevent financial, legal, or service quality issues.
  • Organization: Stay updated on standard operating processes and departmental progress.
  • Technology: Ensure all team members are proficient in required technology applications and troubleshoot any issues.
  • High Standard of Customer Service: Maintain a high level of customer service and positive communication with both customers and staff.
  • Bi-Weekly One-on One Meetings:
    •    Direct Reports:
      •   Conduct bi-weekly meetings with direct reports (Mitigation Estimating Manager and Construction Estimating Manager).
    •    Direct Leader:
      •   Participate in bi-weekly meetings with direct leader (Chief Operating Officer).
    •    Team Meetings
      •   Lead bi-weekly meetings with the estimating team.  
  • In Person Office Visits: The Director of Estimating should make monthly visits to each office.
  • Monthly Tracking and Reporting: Develop and utilize KPM’s to drive effectiveness of estimating department.  
  • Departmental Staffing: Ensure that the department is adequately staffed and trained.
  • Ad Hoc Projects: The Director of Estimating may be asked to participate or prepare ad hoc projects in efforts to grow the effectiveness and efficiency of their department and company.
  • Training: The Director of Estimating may be asked to participate in or attend training sessions either on or off site.
  • Employee Training: Responsible for formalizing training plans for each role under their supervision.  
  • Employee Performance Review Meetings: The Director of Estimating is responsible for completing mid-year and end-of-year review documents and meetings with their direct reports.
