We're looking for a highly organized and customer-focused Reconstruction Field Coordinator to support our Reconstruction Project Managers by coordinating the many field and administrative activities that keep projects moving efficiently.

This is not simply an administrative role or a field assistant position. We're looking for someone who enjoys being in the field, working directly with customers, coordinating with municipalities, supporting construction operations, and ensuring every project stays organized from start to finish.

You will serve as the operational link between our customers, Reconstruction Project Managers, Estimators, Administrative Project Coordinator, subcontractors, suppliers, and local building departments. Your work will allow Project Managers to focus on project execution while ensuring customers receive exceptional communication and support throughout the reconstruction process.

What You'll Be Responsible For (Job Responsibilities)
  • Perform initial field inspections to gather project information, photographs, measurements, and documentation required for estimating.
  • Develop detailed repair scopes and field notes to assist estimators in preparing complete and accurate reconstruction estimates.
  • Coordinate closely with the Administrative Project Coordinator to ensure project documentation, scheduling, permits, and customer communications remain current.
  • Obtain customer signatures for Work Authorizations, Change Orders, Supplement Acknowledgements, Certificates of Completion, and other required project documents.
  • Coordinate permit applications and manage the permitting process from submission through final approval.
  • Schedule, coordinate, and attend city and county inspections when necessary.
  • Deliver and collect finish material samples while assisting customers with product selections and documenting approved choices.
  • Coordinate material ordering and communicate delivery schedules with suppliers and subcontractors.
  • Verify field conditions prior to construction and communicate changes that may impact project scope or scheduling.
  • Conduct site visits throughout construction to document progress and communicate updates to the Project Manager.
  • Assist with supplement documentation by gathering photographs, measurements, and supporting information required for insurance submissions.
  • Coordinate subcontractor scheduling and communicate project readiness with trade partners.
  • Maintain organized project files, photographs, permits, inspection records, and customer documentation.
  • Proactively communicate project status with customers and help ensure they remain informed throughout construction.
  • Identify potential scheduling conflicts or project obstacles and communicate solutions to the Project Manager.
  • Represent Paul Davis professionally throughout every customer, subcontractor, supplier, and municipal interaction.

  • Permit applications and inspections are coordinated efficiently with minimal project delays.
  • Customers feel informed, supported, and confident throughout the reconstruction process.
  • Project Managers receive complete field information that allows estimates and projects to move forward quickly.
  • Material selections, signed documents, and required approvals are collected promptly.
  • Communication between customers, subcontractors, office staff, and Project Managers remains organized and proactive.
  • Projects move smoothly from estimate through completion with minimal administrative delays.
  • Project documentation is complete, organized, and readily available.
  • Leads with ownership, accountability, and exceptional attention to detail.


Who You Are (Qualifications)
  • Minimum 3 years of experience in residential or commercial construction, restoration, project coordination, or a related field.
  • Strong knowledge of residential construction methods, repair sequencing, and building materials.
  • Comfortable performing residential and commercial field inspections independently.
  • Strong organizational skills with exceptional attention to detail and follow-through.
  • Excellent communication skills with the ability to build trust with customers, subcontractors, inspectors, and coworkers.
  • Comfortable managing multiple projects and priorities in a fast-paced environment.
  • Proficient with Microsoft Office and web-based software platforms.
  • Ability to learn Xactimate, DocuSketch, permitting software, and restoration management systems.
  • Self-motivated with a strong sense of ownership, urgency, and accountability.
  • Professional appearance and customer-first attitude.


Preferred Qualifications
  • Experience in reconstruction or property restoration.
  • Experience working with insurance claims and restoration projects.
  • Experience coordinating permits and municipal inspections.
  • Familiarity with Xactimate, XactAnalysis, Symbility (Claims Workspace), DocuSketch, DASH, and RMS.
  • Experience reading construction plans and preparing repair scopes.
  • Knowledge of California residential building codes and permitting processes.
