Position Summary
 

The Operations Manager plays a key role in supporting daily business operations, customer relationships, and administrative coordination. This position blends operations, sales support, customer service, and administrative responsibilities to help drive growth and ensure smooth service delivery. 

This is an ideal role for someone who enjoys wearing multiple hats, building systems, and helping grow a business. The Operations Manager will support scheduling, customer communication, referral relationship development, reporting, and operational coordination. 

 
Key Responsibilities 

Operations & Scheduling
  • Support daily operations of cleaning and restoration services  
  • Coordinate job scheduling and technician assignments  
  • Ensure projects are tracked and completed efficiently  
  • Assist with quality control follow-ups and customer satisfaction  
  • Maintain job documentation, work orders, and service records  
  • Help develop and improve operational processes and workflows  

Sales & Relationship Development 
  • Identify and support outreach to potential referral partners  
  • Maintain and grow relationships with property managers, insurance agents, and local businesses  
  • Conduct phone and in-person outreach to build referral partnerships  
  • Track sales outreach activity and maintain referral database  
  • Assist with networking events and community outreach efforts  
  • Support customer retention and follow-up communication  

Administrative & Business Support 
  • Maintain customer contact database and CRM system  
  • Assist with reporting, including weekly and monthly metrics  
  • Support inventory tracking and supply coordination  
  • Assist with vendor coordination and service providers  
  • Help maintain operational documentation and procedures  
  • Provide general administrative support  

Customer Experience 
  • Serve as a point of contact for customers  
  • Assist with intake calls and service coordination  
  • Ensure excellent customer communication throughout projects  
  • Address customer concerns and escalate when needed  

Qualifications 

Experience 
  • 2–5 years of experience in operations, sales, administrative, or customer service roles preferred  
  • Experience in service-based industries (cleaning, restoration, home services, construction, or similar) preferred  
  • Experience working in small or growing businesses is a plus 
 

Skills & Competencies 
  • Strong organizational and time management skills  
  • Excellent communication and relationship-building skills  
  • Ability to manage multiple priorities in a fast-paced environment  
  • Problem-solving mindset and ability to work independently  
  • Customer-focused and detail-oriented  
  • Comfortable working in a growing, evolving environment  

Technical Skills 
  • Proficiency in Microsoft Office (Word, Excel, Outlook)  
  • Experience with CRM or scheduling software preferred  
  • Ability to learn franchise systems and operational software  
 

Preferred (But Not Required) 
  • Experience in restoration or cleaning industry  
  • Sales or networking experience  
Schedule 
  • 32 to 40 hours week, based on need 
  • Occasional networking events or meetings may occur outside typical hours  
Growth Opportunity

Additional Compensation

  • Quarterly Bonus: 5% of quarterly gross profit if margin exceeds 50%  
  • Annual Bonus: Based on achieving company-wide KPIs (e.g., customer satisfaction, employee retention, operational targets)
