The Administrative Accounting Assistant supports both our office operations and financial processes. This role involves customer communication, job scheduling and tracking, and accurate processing of accounts receivable, accounts payable, payroll, and banking transactions. The ideal candidate will have strong QuickBooks and Microsoft Excel skills, excellent organizational abilities, and a commitment to accuracy and professionalism.
- Address and manage customer needs and concerns, notifying management as needed
- Answer calls, provide excellent customer service, and accurately document messages
- Prepare, process, and maintain job documentation in line with brand standards
- Perform accounting tasks including A/R, A/P, payroll processing, and bank reconciliations using QuickBooks
- Create and maintain spreadsheets, reports, and financial tracking tools in Excel
- Maintain compliance documentation, business resumes, and national account requirements
- Track and maintain inventory of office supplies, cleaning products, and related materials
- Provide basic IT support, coordinate weekly computer backups, and facilitate software updates
- Support marketing efforts and contribute to personal and professional growth within the business
- Clear and effective communicator with a genuine interest in people
- Proficiency in QuickBooks and Microsoft Excel
- Experience with bookkeeping, payroll, and financial recordkeeping
- Highly organized with strong attention to detail and accuracy
- Professional in appearance and conduct, adhering to safety and brand standards
- Ability to build and maintain positive relationships with teammates, clients, and customers
